As Executive Assistant you have a key role in supporting our teams’ overall efficiencies. This role provides awareness to the entire ministry, supporting multiple departments and individuals. The EA must exercise good judgment in a variety of situations and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.   Executive Assistant -Responsibilities: - Provide high level administrative support to C-Suite Executives, VP/AVP’s and Directors in the Home Office. - Manage busy & complex executive calendars (scheduling and coordination of in-person, Zoom, and Teams meetings, etc.) and manage logistics for meetings including catering arrangements, and other details as needed. - Prepare agendas, presentations, reports, create and compile meeting materials, meeting minutes, or other documents as needed. - Assist with projects, data research, and management of databases as required. - Provides general “front desk” support and being “the face” of Franciscan Ministries to ensure a personal, professional, and friendly experience for each guest, whether in person or on the phone. - Provide back-up assistance to other EAs as needed.   Executive Assistant - Requirements: - 5+ years’ work experience in a professional office environment to include solid knowledge of standard business practices/methods; experience supporting senior executives is strongly preferred. - Excellent multi-tasking, planning and organizational skills required. - Excellent interpersonal, verbal, and written communication skills to interact effectively with internal and external executives; proofreading skills and attention to detail in reviewing documents and presentations. - Diplomacy, discretion, and tact are required in internal and external communications, as role has access to confidential information. - Extensive computer skills in Microsoft Excel, Word, PowerPoint, and Outlook

Human Resource Assistant - Full Time Franciscan Village - Lemont  M-F 730A - 4P   Franciscan Village, a part of Franciscan Ministries, is a vibrant Senior Living community located in Lemont, Illinois. We are currently looking for a full-time Human Resource Assistant to add to our team! The HR Assistant is responsible for the coordination of all materials relating to the maintenance of associate personnel files and communication of information contained in those files as it relates to HR practice and procedure, the completion and tracking of all new hire paperwork, licensure verification, file upkeeping and monthly report.   Duties and Responsibilities: - Processing payroll in Kronos. This senior leadership role will be responsible for strategy development and execution, as well as providing strategic thought partnership with the CEO. Determining whether particular information may be public or confidential by law. - Managing and overseeing the Legal Department, including budgeting and financial reporting, administration, and the selection and use of outside - General Council shall assist in efforts focused on governance matters. - Administrate the Ministry’s ’s non-associate related insurance plans including responsibility for financial oversight and utilization of the various coverages including directing the captive insurance program, self-insurance plans and other similar risk management vehicles. - Complete corporate filings and other similar documents for all legal entities in addition to directing the activities of the Secretary of the various Boards of Directors, as appropriate. - Shares with finance the responsibility for ensuring ongoing tax-exempt for income, property and sales in addition to leading the appeal efforts relating to any adverse rulings or exemption denials relating to any corporate entity. - Review new and modifications of all operational, development, real estate and investment related activities of/from a legal, regulatory and compliance perspective.   Requirements: - A Juris Doctorate Degree or equivalent from an American Bar Association-accredited nationally or internationally recognized law school and active admission to practice law. - Minimum of 5 years of legal experience as an attorney, preferably including foundational law firm training and experience as a General Counsel or senior managing in-house counsel in healthcare, life sciences, or other heavily regulated industries.  - License to practice law in the state of Illinois. The Dining Operations Director is a leadership role to support the mission of Franciscan Ministries. This role will be responsible for providing leadership, guidance, support, and supplementing a communities Director of Dining Services (DDS) or department leadership role if the position is vacant. The position is responsible for the overseeing the overall operation of a communities dining service department and meeting or exceeding its hospitality and service standards.   Dining Operations Director may periodically be assigned to lead ministry initiatives at the home office or at a local ministry. The Dining Operations Director position does require 50%-75% travel.   I.            Specific Task/Duties - Oversees and manages day to day operations of a ministries dining service department during the absence of a dining service director or dining management position to provide the highest quality of customer service for our residents. - Responsible for leading the interview process and candidate evaluation for any open ministry dining management position in collaboration with the ministries Executive Director and HR Manager. - Oversee and provide appropriate department onboarding and training for newly hired dining service management positions. - Responsible for evaluating communities culinary and service operations to ensure that each part is functioning to ministry standards. Proactively support dining service management associates in solving problems with dining room service, room delivery, food quality, or resident complaints. - Provide leadership, training, and influence to ensure optimal performance to enable department leaders and dietary associates to achieve desired outcomes and goals. - With guidance from the associate vice president of Dining Services, identify and develop ministry specific strategic short- and long-term goals with an action plan in order advance a ministry dining service program. - Responsible for communicating effectively with all home office leadership and ministry leadership. - Serves as a liaison between senior leadership and community leadership to ensure ministry alignment. - Promotes a culture of Living Joyfully for both residents and associates to ensure engagement and positive morale within the community. - Assists associate vice president of dining with monthly review of department-specific P&L statements and assists with monthly dining operations reviews for communities not meeting ministry goals. - Understands and demonstrates operating efficiencies and expense control. Assist the associate vice president of dining with ensuring each ministry is hitting their budgeted department goals for food, supplies, labor, and revenue.   - Participates in state association and regulatory agencies.   - Adhere and follow all company policies and procedures. Ensure ministry policies and procedure compliance are in accordance with federal, state, and local laws/regulations. - Maintain a sanitary work environment and conform to all local codes and policies regarding proper storage, handling and serving of food. - Attend all required department/ministry meetings, in services, or trainings. - Preform other duties as assigned by the Associate Vice President of Dining Services. Applicable Experience Minimum of 3 years of supervisory and leadership experience in a senior care setting required. 5 years of supervisory and leadership experience in a senior care setting.
